Yes. A significant proportion of studio projects begin as an outline, a commercial bottleneck, or an incomplete vision rather than a polished technical specification.
You do not need to produce a comprehensive brief before speaking with us; our team helps define the operational, aesthetic, and technical parameters required to quote and execute the work.
How initial discovery works
When you submit an early-stage concept via the Ask Xylo chat on this portal, your submission is routed to Operations & Client Services. We do not require finished wireframes, fully written scripts, or technical architecture diagrams at this stage.
The process follows a clear sequence:
1. Intake and review: Operations & Client Services reviews your notes alongside relevant leads from Technology or Creative to assess feasibility and domain fit. 2. Clarification: We reply within our 24-hour target during studio operating hours (Monday to Thursday, 09:00–17:00 GMT) with targeted questions to establish core objectives, deliverables, and boundaries. 3. Scoping session or brief alignment: For straightforward concepts, this occurs asynchronously via the portal. For multi-disciplinary projects spanning both code and brand assets, we schedule a focused discovery call to work through edge cases. 4. Brief finalisation: We synthesise your inputs into a structured brief that details scope, technical stacks, asset deliverables, and project milestones. 5. Commercial quote: Once the brief is formally agreed upon as complete, we issue a bespoke quote within 48 hours. If your requirement aligns directly with a pre-scoped scope of work, we direct you to the standard options listed on our packages page.
What you must supply
While the brief does not need to be finalised, our team requires clear baselines to shape the project effectively. You should be prepared to provide:
* The commercial problem: The practical outcome you need to achieve (e.g., launching a brand identity for a new venture, building a client management interface, or automating an internal workflow). * Known constraints: Deadlines driven by third parties, hard operational launch dates, or fixed platform dependencies (such as an existing database or host). * Visual or functional benchmarks: Concrete references showing what you consider successful. If you lack aesthetic terms, links to existing products, interfaces, or campaigns help the Creative department calibrate direction. * Decision-making authority: Clarity on who inside your organisation has final sign-off on deliverables, spend, and technical trade-offs.
Commercial parameters
Turning a rough idea into a production-ready brief does not incur costs, but project work only commences once a formal proposal is signed and the initial invoice is cleared.
* Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Any exception to this rule is granted solely at the studio's discretion. * Referrals: If you were introduced to Xylora Studios through our ambassador programme, inform us during initial discovery. Referred clients typically receive a 10% to 30% reduction on production fees, which is validated and confirmed in writing directly on your quote. The referring party earns their commission once contracts are executed and deposits clear. * Schedule constraints: Production slots are scheduled strictly across our working week (Monday to Thursday, 09:00–17:00 GMT). Work does not proceed on Fridays or over weekends.
Failure points with rough ideas
Early concepts fail to advance into production when fundamental alignment cannot be reached. Common issues include:
* Moving targets during scoping: Continuously altering the core requirement during brief development resets the drafting process and delays quoting. * Unresolved internal consensus: Engaging the studio before your internal leadership agrees on the problem results in conflicting feedback and abandoned briefs. * Budget mismatch: A bespoke concept requiring extensive bespoke engineering from Technology combined with comprehensive asset creation from Creative cannot proceed if production parameters exceed your commercial threshold. Early transparency on investment constraints avoids abortive scoping work.
Rough concept checklist
Before opening a conversation on the portal, verify you have the following ready:
* A written paragraph describing what the finished project must do. * Two or three reference examples illustrating your desired quality, style, or function. * Confirmation of who within your team holds final approval. * Awareness of your target delivery date. * Details of any referring ambassador who introduced you to the studio.
Once you have these points outlined, submit them directly through the Ask Xylo chat on this portal to start the review process.
