Yes. Xylora Studios can issue quotes, invoices, and contracts directly to a registered corporate entity rather than an individual.
To ensure commercial compliance, corporate details must be provided prior to invoice generation, as completed transactions cannot be transferred between entities retroactively.
Information required for corporate billing
When booking studio production, our Operations & Client Services department handles invoice generation and merchant records. If you require billing in a company name, you must provide the following information during the onboarding or quoting stage:
- Full registered company name (as recorded at Companies House or the relevant national registry)
- Company registration number
- Registered office address, including postal code and country
- Trading address (if different from the registered address)
- VAT number or national tax identification number (if applicable)
- Designated accounts payable contact name and billing contact point
- Purchase Order (PO) number or internal billing reference (if required by your internal procurement system)
If you qualify for an ambassador discount via our referral network, this reduction—typically between 10% and 30%—is calculated and itemised directly on the corporate quote prior to invoicing. This cannot be applied retrospectively after an invoice is issued.
The invoicing sequence
Corporate billing follows a standard operational path managed by Operations & Client Services:
1. Data submission: During project briefing or initial dialogue through the Ask Xylo chat, inform the team that the account is corporate. Provide the entity details listed above. 2. Quote generation: For custom briefs across our Creative or Technology departments, bespoke quotes are generated within 48 hours of receiving a complete brief. For pre-scoped packages, pricing is drawn directly from the packages page, adjusted for your company's billing profile. 3. PO assignment: If your organisation operates an internal purchase order system, provide the approved PO number prior to invoice creation. We will append this to the invoice for your finance department's records. 4. Invoice distribution: The official VAT invoice is generated under Xylora Groups LTD and dispatched to your billing contact. The document specifies our payment terms, payment remittance methods, and entity details. 5. Payment clearance: Production scheduling commences only once the required initial deposit or full fee clears into our account. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.
Purchase orders and corporate procurement
Many corporate clients require specific vendor onboarding, supplier forms, or formal Purchase Orders before accounts payable can release funds.
If your finance team requires vendor onboarding documentation, notify our Operations & Client Services department through the Ask Xylo chat immediately upon brief submission. While we can provide standard verification details, payment must still clear according to our agreed terms before work begins or project deliverables are released. We do not accept delayed corporate payment terms (such as Net 60 or Net 90) for production deposits unless explicitly agreed in writing beforehand.
Switching from an individual to a company entity
Clients sometimes initiate a project under their personal name and subsequently request an invoice in the name of a business entity.
- Before payment: If an invoice has been issued to you personally but remains unpaid, contact the studio via the Ask Xylo chat. Operations & Client Services can cancel the original draft, verify your company details, and issue a revised invoice to the business entity.
- After payment: Once a transaction is complete and funds have cleared under an individual's name, the invoice represents an executed commercial transaction under UK accounting regulations. Invoices cannot be cancelled, amended, or reassigned to a different corporate entity after payment has cleared. You will need to process the initial invoice through your company's internal expense or director loan framework instead.
Operating hours and lead times
The studio operates Monday to Thursday, 09:00 to 17:00 GMT. We do not operate on Fridays, weekends, or UK bank holidays.
Our first-reply target for billing queries through the Ask Xylo chat is within 24 hours during working days. Invoicing amendments, company detail checks, and procurement document processing are carried out strictly within these operating hours.
