CAN YOU REVIEW AN EXISTING PROJECT BEFORE QUOTING

Xylora Studios reviews existing codebases, design systems, and creative assets prior to quotation to assess architectural viability and scope bespoke work accurately.

Yes. We review existing codebases, design systems, and brand assets prior to issuing a bespoke quote, provided you grant complete access and context. This technical or creative appraisal allows us to identify legacy constraints, assess asset quality, and scope the required work accurately.

How the review process operates

Every pre-quote review moves through a structured operational sequence handled across our departments.

1. Initial triage and submission: You initiate contact via the Ask Xylo chat on this portal or submit your enquiry through our briefing form. Operations & Client Services reviews your enquiry within our working hours (Monday to Thursday, 09:00 to 17:00 GMT). We maintain a first reply target of 24 hours. 2. Department assignment: Depending on the project type, the enquiry is assigned to either Technology (for websites, web applications, or custom software) or Creative (for UI/UX, brand identity, or motion design). 3. Asset inspection: Our specialists review the material you supply. For technical work, we evaluate architecture, dependencies, deployment setups, and code cleanliness. For creative work, we inspect file structures, component libraries, typography licensing, and visual consistency. 4. Quote formulation: If the project falls within our standard service tiers, pricing is referenced against the packages page. For bespoke engagements, our team produces a formal quote within 48 hours of receiving a complete brief and all necessary access credentials.

What you need to supply

To complete the evaluation without delay, you must provide direct, unhindered access. We do not accept screen recordings or static screenshots in place of live repositories or native design files.

* For Technology projects: * Read-only access to source code repositories (such as GitHub, GitLab, or Bitbucket). * An outline of the current hosting environment, runtime versions, and third-party API dependencies. * A summary of known defects, security vulnerabilities, or performance bottlenecks. * Live staging or production URLs, accompanied by testing credentials where authentication is required. * For Creative projects: * Native design files (Figma links with edit or inspect permissions, Illustrator files, or Photoshop archives). * Brand guidelines, vector logo assets, and font licensing details. * An itemised list specifying which components are to be retained, updated, or retired completely.

Pre-quote review versus a formal audit

A pre-quote review is a scoping assessment designed to determine whether we can take on the project and how many hours it will require. It is not an exhaustive diagnostic report.

* Pre-quote review (No fee): High-level architectural sanity check, dependency review, and workflow feasibility study. The output is a clear bespoke quote or a recommendation on next steps. * Formal technical or creative audit (Paid engagement): In-depth code profiling, security penetration checks, database query optimisations, or granular design system refactoring plans. These are contracted projects. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.

If you have been referred to Xylora Studios by an existing client or partner, make this clear during initial submission. Referred clients typically receive 10% to 30% off, confirmed in writing on the bespoke quote, while the referrer earns commission via our ambassador programme.

Common failure cases

Delays during the pre-quote stage almost always stem from access permissions or ambiguous briefs. The following issues will pause your 48-hour quotation window:

* Restricted permissions: Invitations sent to incorrect usernames, unapproved two-factor authentication gates, or expired Figma permissions. * Incomplete briefs: Specifying general requests without defining deliverables, business goals, or hard constraints. The 48-hour quoting clock begins only once the brief is confirmed as complete by Operations & Client Services. * Obsolete or proprietary dependencies: Custom frameworks or closed-source libraries with no documentation that cannot be compiled or run locally without proprietary keys.

Submission checklist

Before submitting your project for review via Ask Xylo, ensure you have completed the following:

* [ ] Verified that repository or design file permissions are active and directly accessible. * [ ] Compiled a brief outlining project objectives, target completion dates, and known defects. * [ ] Listed all third-party services, APIs, and hosting environments currently connected to the build. * [ ] Disclosed any referral details so applicable discounts can be evaluated. * [ ] Confirmed availability for follow-up questions during our operational hours (Monday to Thursday, 09:00 to 17:00 GMT).
