Mixed multidisciplinary projects are managed through Operations & Client Services to run Creative and Technology workflows in a coordinated sequence. This prevents creative assets from being designed outside technical constraints and keeps technical builds aligned with approved visual systems.
Department allocation and sequencing
Every project involving both creative and technical components engages all three internal departments, with distinct responsibilities across the lifecycle:
1. Operations & Client Services: Acts as the central operational hub. This team handles briefing intake, scopes the project dependencies, monitors schedules, and serves as your daily point of contact. 2. Creative: Produces visual identity, UI/UX systems, copy, illustration, or brand collateral. Work is constructed within predefined technical requirements (such as component limits, viewport targets, or file-weight budgets). 3. Technology: Builds architecture, writes code, develops backend logic, configures infrastructure, and integrates APIs. Developers validate creative concepts before they are presented to the client to confirm feasibility.
The operational sequence runs in fixed phases: - Technical Specification and Wireframing: Technology outlines requirements, data schemas, and functional parameters while Creative outlines user journeys and low-fidelity structures. - Design and Technical Architecture: Creative establishes design tokens, interface components, and art direction. Simultaneously, Technology configures repository environments, databases, and core dependencies. - Production and Integration: Front-end development converts signed-off visual assets into production code while the creative team audits builds in staging to ensure visual fidelity. - Quality Assurance and Deployment: Both teams test cross-browser compatibility, security, asset compression, and functional performance before final sign-off.
What the client must supply
To allow Creative and Technology to work simultaneously without blocking one another, you must provide the following items before production begins:
- A comprehensive brief: Functional specifications, target platforms, brand guidelines, and target launch dates.
- Technical access: Relevant API keys, domain DNS access, hosting credentials, or legacy repositories.
- Third-party assets: High-resolution photography, raw vector logos, licensed fonts, and approved written copy.
- A designated decision-maker: A single client lead empowered to provide feedback and sign off on milestones.
Delays in supplying credentials or content prevent the Technology team from building live integrations and stall the Creative team during layout assembly.
Timings and quotes
The studio operates Monday to Thursday, from 09:00 to 17:00 GMT. Inquiries received via the Ask Xylo chat on this portal receive a first reply within 24 hours.
Standard packages are detailed on the packages page. For bespoke mixed briefs requiring custom integrations or extensive design systems, quotes are delivered within 48 hours of receiving a complete, finalized brief. If you were introduced to the studio through an existing ambassador, your quote will reflect an agreed referral discount of typically 10–30%, confirmed in writing on the estimate. The referrer earns their commission through the ambassador programme once the project is formally initiated.
Managing dependencies and scope changes
In combined projects, creative revisions and technical architecture are tightly coupled. Changes to a design layout after functional implementation has started introduce dual-department rework.
- Staged sign-offs: We require explicit sign-off on creative wireframes and high-fidelity interface designs before front-end code begins. Requesting layout restructuring after code integration constitutes a scope change and requires a supplemental estimate.
- Dependency blockers: If technical credentials (such as payment gateways or third-party APIs) are delayed, development pauses on that module, but creative milestones may continue if unlinked.
- Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Any departure from this policy occurs exclusively at the studio's sole discretion.
If you anticipate shifting requirements, raise them immediately through the Ask Xylo chat so Operations & Client Services can adjust the schedule before code or visual assets are completed.
Project readiness checklist
Before submitting a mixed creative and technical brief, ensure you have:
- [ ] Compiled an itemised brief covering both visual objectives and technical functionality.
- [ ] Verified that all third-party credentials, hosting accounts, and APIs are accessible.
- [ ] Confirmed who on your side holds final sign-off authority for design and code.
- [ ] Checked the packages page to see if your scope matches a pre-priced offering or requires a bespoke quote.
- [ ] Noted any referral details so ambassador terms can be included in the initial estimate.
