HOW LATE PAYMENTS AFFECT DELIVERY

Late payments immediately halt scheduled sprint capacity, delay phase sign-offs, and freeze the release of final production assets or code until accounts are cleared.

Late invoice payments immediately pause active studio scheduling, delay milestone sign-offs, and prevent the release of production files, source code, and live deployments.

Work resumes and assets are formally handed over only after outstanding balances clear in full with Operations & Client Services.

How payment triggers project stages

Xylora Studios operates on a milestone-gated delivery model. Production phases are tied directly to agreed payment stages, established either during the bespoke quote process or as detailed on the packages page.

Our three departments—Technology, Creative, and Operations & Client Services—plan sprints against cleared funds. When an invoice is issued for a project milestone, delivery of that stage or transition into the subsequent stage relies on receipt of payment. Work does not advance on credit or unverified assurances.

The timeline of a payment pause

When an invoice passes its specified due date without cleared payment, the project moves through a standard operational freeze:

1. Automated account flag: Operations & Client Services marks the project account as overdue at the close of business on the due date. 2. Active sprint suspension: The Creative and Technology teams halt active development, design revisions, and staging deployments linked to that milestone. Unbilled or unpaid sprint hours are halted immediately. 3. Portal notification: A notification and payment reminder are logged to your account. You can discuss payment status at any time via the Ask Xylo chat on this portal. 4. Queue slot release: If an invoice remains unsettled for more than three working days, your dedicated sprint slot is released back to studio availability. The studio operates Monday to Thursday, 09:00-17:00 GMT, and project resources are reallocated to active accounts.

Delivery date impact and studio rescheduling

A common misunderstanding is that paying a late invoice immediately advances the project by the exact number of days it was delayed. It does not.

Because production slots are allocated across Monday to Thursday working weeks, a three-day payment delay often creates a one- to two-week delivery drift. When funds clear, Operations & Client Services must review studio capacity to slot your project back into the production schedule. If the Technology or Creative teams have been committed to other client deliverables in the intervening period, your work will restart at the earliest open production window, not the hour payment arrives.

Handover and asset release restrictions

Under no circumstances are final production deliverables released on overdue accounts. Depending on the department handling the deliverables, this policy applies to:

  • Creative: High-resolution exports, native design source files (Figma, Illustrator, Photoshop), production-ready brand assets, and raw media.
  • Technology: Production repository access, deployment to client-owned live infrastructure, domain transfer authorisations, and database credentials.
  • Operations & Client Services: Final IP transfer paperwork and closure documentation.

Staging sites and review links will remain locked or protected until payment is verified. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Pausing a project due to non-payment does not entitle a client to a refund of earlier milestone payments.

Resolving an overdue account

To restore a paused project to active production, complete the following steps:

1. Make payment: Settle the outstanding invoice using the transaction link provided on your portal invoice. 2. Provide remittance: Upload proof of payment or transaction confirmation directly within the Ask Xylo chat on this portal. Operations & Client Services checks incoming reconciliations during standard operating hours. 3. Schedule confirmation: Once funds have cleared, Operations & Client Services will review studio capacity and issue an updated delivery schedule within our 24-hour first reply target.

Late payment checklist

Before contacting your account lead about delivery dates, confirm the following:

  • [ ] The invoice has been paid via the portal or direct bank transfer.
  • [ ] Bank processing times have elapsed (standard BACS transfers can take up to three working days to clear).
  • [ ] Remittance advice or payment reference has been shared in Ask Xylo.
  • [ ] You have accounted for our operational week (Monday to Thursday, 09:00-17:00 GMT) when calculating response and restart times.
  • [ ] All required milestone feedback or client assets have been uploaded to prevent further compounding delays once billing is resolved.
