Tax and VAT inquiries are handled directly by Operations & Client Services through the Ask Xylo portal chat according to UK billing rules and your verified corporate registration status.

All tax and VAT queries are reviewed and resolved by Operations & Client Services via the Ask Xylo portal chat. Invoices are issued by Xylora Groups LTD in accordance with UK tax regulations, applying domestic VAT or cross-border treatments based on your verified location and tax registration.

How VAT is assessed on studio services

Xylora Groups LTD is a UK entity, operating since 2022 across three core departments: Technology, Creative, and Operations & Client Services. Every invoice issued for package work or bespoke engagements reflects strict statutory tax requirements:

  • UK clients (businesses and individuals): Standard UK VAT is applied to all invoices for creative and technical services.
  • Non-UK business clients (B2B): Where services are supplied to an established business outside the UK, the engagement may be treated as zero-rated, outside the scope of UK VAT, or subject to the local reverse-charge mechanism. This treatment requires valid documentary proof of trade or an active corporate tax identifier.
  • Non-UK private individuals (B2C): In the absence of an active business registration, cross-border individual supplies are treated under applicable UK export and place-of-supply rules.

Pricing listed on the packages page is stated exclusive of VAT unless specifically noted. For bespoke projects, the applicable tax rate and projected tax liability are stated explicitly on your written quote before contracts are executed.

Submitting your tax and registration details

Tax status cannot be inferred or adjusted retroactively once an invoice is settled. To ensure your invoices carry the correct fiscal designation, follow this operational sequence:

1. Provide billing credentials: During onboarding or scoping, provide your full legal company name, registered corporate address, country of tax residence, and your national tax registration number (such as an EU VAT ID, ABN, or domestic equivalent). 2. Submit via chat: Log this information directly inside the Ask Xylo chat on this portal so it is attached directly to your client file. 3. Verification by Operations: Operations & Client Services checks the provided number against official verification databases (such as HMRC or EU VIES). 4. Quote update: For bespoke projects, updated terms factoring in valid cross-border designations are issued within 48 hours of receiving your complete brief and entity credentials. 5. Billing generation: Once verified, your account profile is locked to that billing schedule, and formal VAT invoices are generated automatically for deposit and milestone payments.

Operating hours and resolution targets

Tax reviews, invoice revisions, and payment reconciliations are processed exclusively during regular studio working hours: Monday to Thursday, from 09:00 to 17:00 GMT.

  • First reply target: Billing queries submitted via Ask Xylo receive an initial response within 24 hours during working days.
  • Out-of-hours logging: Requests submitted after 17:00 GMT on Thursday, or over the weekend, enter the operational review queue on Monday morning.
  • Bespoke billing adjustments: Where complex cross-border documentation or revised quotes are requested, allow 48 hours from the time all verifiable tax credentials have been provided.

Invoicing issues, withholding tax, and failure cases

Misunderstandings regarding tax status usually arise from incomplete documentation or post-payment notification. The studio operates under established procedural boundaries:

  • Late submission of tax IDs: If an invoice is generated and paid with UK VAT because your tax number was not supplied in advance, the studio is not obligated to cancel and reissue historical documentation. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.
  • Invalid or unverified IDs: If a supplied VAT or tax ID fails official database validation, Operations & Client Services will revert via Ask Xylo. The invoice will continue to attract standard UK VAT until official verification can be completed.
  • Domestic withholding taxes: Studio quotations represent the net amount due to Xylora Groups LTD. If your domestic tax authority requires you to withhold tax at source on international payments, you must notify Operations & Client Services during project scoping so the contract and gross figures can be structured accordingly.
  • Referred client discounts: If you were introduced via our ambassador programme, your confirmed 10–30% discount is applied to the net service fees on the quote before any statutory VAT is calculated. The ambassador’s commission is calculated independently by the studio and has no bearing on your tax calculation.
