Yes. We regularly execute creative and technical work using pre-existing brand documentation, asset libraries, and visual guidelines supplied by incoming clients.
Our Creative and Technology departments review your documentation during the onboarding phase to ensure all deliverables align precisely with your established identity.
How we audit incoming brand documentation
When you submit an existing brand guide, Operations & Client Services logs the material and passes it to the Creative department for a technical audit. We do not simply glance at the colour palette; we evaluate whether the assets meet production standards for the intended scope of work.
During this audit, our team verifies:
- File formats and resolution: Vector files (SVG, EPS, AI) for logos and marks; print-ready assets where applicable.
- Colour governance: Specific colour values across HEX, RGB, and CMYK formats, along with primary, secondary, and neutral hierarchy rules.
- Typography and licensing: Clear font family specifications, weights, web font availability, and confirmation of active licences for commercial use.
- Spacing and grid standards: Layout logic, minimum clear-space parameters, and responsive design guidelines if digital build work is involved.
- Tone of voice and imagery standards: Direction on photography styles, illustration frameworks, and editorial conventions.
Our studio operates Monday to Thursday, 09:00 to 17:00 GMT. We maintain a first-reply target of 24 hours for all incoming submissions. If your brand documentation is submitted as part of a bespoke project inquiry, we deliver a formal quote within 48 hours of receiving a complete brief.
What you must supply
To prevent production delays, brand guides must be accompanied by raw, source-level assets. A static PDF guidelines document alone is rarely sufficient to begin production work.
You should prepare and transfer:
1. Master brand documentation: Your complete brand book, visual guidelines, or design token repository. 2. Vector logo suite: Master logos, lockups, wordmarks, and sub-marks in SVG or EPS format, covering dark, light, and monochrome variants. 3. Font software: Web font files (WOFF2, WOFF) and desktop formats (OTF, TTF) alongside proof of licence, or links to approved Google Fonts / Adobe Fonts libraries. 4. Design system files: If you have an active UI system, access to the master Figma, Sketch, or Adobe XD components. 5. Tone and copy matrices: Any existing documentation governing voice, terminology, and messaging.
Upload these materials through the Ask Xylo chat on this portal or via the file link provided during project intake.
Inconsistencies and failure cases
Existing guidelines occasionally contain ambiguities, outdated components, or gaps that block immediate execution. Our approach to handling these scenarios is operational and transparent:
- Missing vector artwork: If you provide only rasterised images (JPEG or PNG files) for logos or icons, production halts until vector files are provided. If recreation is required, we issue an addendum to the scope through Operations & Client Services.
- Unlicensed fonts: We do not deploy commercial typography without proper licensing. If proprietary font files are not supplied with commercial clearance, we will require you to purchase the appropriate licences or formally approve an open-source fallback specified by our Technology team.
- Ambiguous usage rules: When a brand guide lacks explicit rules for mobile views, interactive states, or specific print mediums, the Creative team documents the gap and presents a suggested resolution for your sign-off before proceeding.
Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Exceptions occur only at the studio's sole discretion. Ensuring your assets are complete and compliant prior to commissioning work prevents unnecessary project delays or scope adjustments.
Operational sequence
From asset receipt to delivery, the workflow proceeds through clear milestones:
1. Submission: You provide the complete brand guide and raw assets via the intake form or Ask Xylo chat. 2. Audit and brief review: Operations & Client Services confirms receipt, and Creative inspects the files against the required scope within 24 hours. 3. Scope confirmation: If bespoke, we return a formal quotation within 48 hours. If you are using pre-priced options from the packages page, we confirm onboarding requirements immediately. 4. Commercial clearance: The project deposit is paid, and contracts are executed. 5. Production: Creative and Technology departments construct deliverables strictly bounded by your brand specifications. 6. Quality review: Deliverables undergo internal QA to cross-check typography, colour values, and margins directly against your master guide before release.
