Yes. Xylora Studios works with clients operating within regulated sectors, including financial services, healthcare, and professional practices.
All technical requirements, mandatory disclosures, and approval chains must be declared and factored into the project schedule before work begins.
Scope of engagement and departmental allocation
Regulated work touches all three studio departments depending on the agreed scope:
- Creative: Responsible for layout, UI/UX, typography, asset production, and placement of mandatory notices. Creative adheres strictly to provided regulatory styling rules, such as legibility minimums or disclaimers.
- Technology: Responsible for technical architecture, infrastructure configuration, data handling, and secure integrations. This includes aligning server locations, API privacy, and tracking implementations with your statutory requirements.
- Operations & Client Services: Manages contract execution, non-disclosure agreements (NDAs), scheduling compliance review gates, and handling project communications.
Xylora Studios acts as an execution partner. We do not provide legal, financial, or regulatory advisory services. Your internal compliance team or external counsel retains ultimate accountability for statutory compliance.
What you must supply before kickoff
To price and schedule the project accurately, your brief must include the regulatory parameters governing the deliverable. You must supply:
1. Standard Non-Disclosure Agreements (if required): Executed prior to exchanging sensitive operational information. 2. Compliance style guides and mandatory copy: Specific disclaimers, licensing numbers, risk warnings, or cookie policies that must appear in the finished deliverable. 3. Technical requirements: Explicit data sovereignty specifications, tracking restrictions, accessibility standards, or hosting constraints. 4. Approval workflow documentation: The exact steps, named personnel, and sign-off windows required by your compliance or legal teams.
Where third-party governance frameworks dictate production methods, these constraints must be included in the initial brief. If a referred client brings a regulated brief, the standard referral discount of 10-30% applies once confirmed in writing on the bespoke quote.
Sequence of events during production
Regulated workflows follow a structured path through the studio:
1. Brief evaluation and scoping: Operations & Client Services reviews the compliance requirements submitted. If the requirements involve software or data architecture, Technology evaluates technical feasibility. 2. Bespoke quotation: Provided within 48 hours of receiving a complete brief. Quotes outline the fixed scope, deliverables, and review stages. 3. Deposit and onboarding: Following contract execution and receipt of the non-refundable deposit, production is scheduled. 4. Draft deliverables and review gates: Creative or Technology produces the initial milestones. Deliverables are handed over for your internal legal or compliance review at agreed intervals. 5. Revisions and remediation: The studio amends assets or code based on consolidated feedback from your compliance team. 6. Final sign-off and deployment: Your team issues formal sign-off, remaining balances are cleared, and the work is launched or transferred.
Support throughout this sequence is handled directly through the Ask Xylo chat on this portal.
Timelines, review gateways, and working hours
Our working hours are Monday to Thursday, 09:00-17:00 GMT. Studio operations, development sprints, and creative execution take place exclusively within this window. Our target first response time for project queries is within 24 hours.
Regulated projects typically require longer approval phases. You must build your internal review cycles into the milestone schedule agreed at quotation. If your compliance board meets on specific cycles, inform us during scoping so deadlines reflect your internal reality.
Failure modes and boundary conditions
Delays in regulated projects usually stem from internal sign-off bottlenecks or late scope additions:
- Unconsolidated feedback: We require a single, resolved set of revisions from your appointed project lead. If legal and marketing provide conflicting instructions, production halts until your team reconciles the brief.
- Scope adjustments via compliance: If your legal team requires structural changes outside the agreed brief—such as introducing unanticipated authentication layers or full layout redesigns—we will issue a separate change order. Production on affected components pauses until the new scope is approved.
- Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.
