Xylora Studios provides standalone strategy, roadmapping, and discovery engagements across all three studio departments without requiring downstream production commitments.

Yes, Xylora Studios provides standalone strategy engagements without requiring follow-on implementation or creative production work.

Strategy projects operate as distinct, deliverable-driven commissions across our Technology, Creative, and Operations & Client Services departments.

Scope of standalone strategy engagements

Clients frequently require architectural validation, creative direction, or systems audits before committing to build budgets. We handle these as independent briefs.

Depending on the discipline required, your strategy work is assigned to the relevant department:

  • Creative: Brand positioning, design system audits, message architecture, content strategy, and visual identity roadmaps.
  • Technology: Technical stack evaluations, headless infrastructure roadmapping, architecture blueprints, migration plans, and specification authoring.
  • Operations & Client Services: Digital workflow optimisation, process mapping, and handoff governance.

Deliverables are practical, self-contained documentation—typically comprehensive audit decks, technical specifications, and implementation roadmaps—that your internal team or a third-party vendor can execute independently.

How to initiate a strategy brief

1. Submit your requirement: Open an enquiry through the Ask Xylo chat on this portal. State that the engagement is advisory or strategy-only. 2. Review standardised packages or request a bespoke quote: Fixed-scope reviews are listed on our packages page. For bespoke advisory briefs, provide an outline of your objectives, current systems, and intended outputs. Our initial reply target is within 24 hours. 3. Proposal and confirmation: Where a bespoke brief is complete, Operations & Client Services issues a formal quote and delivery schedule within 48 hours. If referred by an existing partner, your written quote will reflect the agreed 10–30% referral reduction. 4. Engagement booking: Work is scheduled into our production calendar upon receipt of the initial invoice payment and a signed scope document.

Delivery sequence and department responsibilities

Every strategy-only project follows a structured four-stage process:

1. Intake and discovery (Days 1–3): Operations & Client Services establishes the project channel and issues an asset and information questionnaire. You supply required data, access credentials, and background documentation. 2. Analysis and interviews: The lead strategist (from Technology or Creative) reviews existing assets, conducts benchmark analysis, and holds discovery sessions via scheduled calls. 3. Draft synthesis and delivery: The studio compiles the findings into written specifications, system diagrams, or strategic frameworks. 4. Walkthrough and handoff: We lead a formal walkthrough to present findings, explain recommendations, and address questions. Final documentation is handed over with full intellectual property rights transferred to you.

All consultations, calls, and communications take place during our studio working hours: Monday to Thursday, 09:00 to 17:00 GMT.

What the client must supply

Standalone strategy relies entirely on access to accurate business context. You must provide:

  • A designated internal project owner with decision-making authority.
  • Access to relevant legacy accounts, design libraries, code repositories, or analytical platforms prior to the discovery phase.
  • Written confirmation of business constraints, regulatory boundaries, and budget parameters.
  • Timely feedback within agreed review windows to prevent schedule displacement.

Commercial terms and scheduling

Strategy engagements involve dedicated capacity from senior staff. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.

Deliverable milestones and review windows are agreed upfront in the project scope. Should you subsequently choose to engage Xylora Studios for implementation, that build is quoted separately under a new contract. Completing a strategy phase does not obligate you to use our production services, nor does it guarantee calendar availability for future builds unless booked concurrently.

Failure cases and delays

Strategy timelines fail when inputs stall. Typical issues include:

  • Withheld or delayed access: If platform permissions or internal metrics are delayed past the scheduled intake window, the engagement pauses, and delivery dates move to the next available studio sprint.
  • Scope creep into execution: Strategy scopes define what to build and how, but do not include asset production, interface coding, or implementation. Requests for execution assets during a strategy contract will be paused and quoted separately.
  • Stakeholder absenteeism: Failure to attend discovery sessions or participate in review periods means recommendations must be made on assumptions, leading to re-work that requires an additional paid scope change.

Strategy readiness checklist

Before initiating a strategy engagement via Ask Xylo, ensure you have:

  • Defined the problem you need solved (e.g., technical debt, rebrand direction, workflow friction).
  • Confirmed internal stakeholders who need to be present for discovery interviews.
  • Compiled access permissions, performance analytics, and existing brand or architecture files.
  • Verified that your budget accounts for standalone consulting without production assets.
  • Checked your timeline against our standard working hours (Monday to Thursday, 09:00–17:00 GMT).
