Xylora Studios works directly with independent creators and small teams using structured packages or bespoke production workflows managed across our three internal departments.

Yes, Xylora Studios works directly with solo creators, independent operators, and small teams. Engagements follow the same operational procedures, production standards, and delivery schedules applied to studio-scale commissions.

Small setups typically engage the studio in one of two ways: fixed-scope packages or bespoke project work. Fixed-scope services are detailed directly on the packages page, while bespoke projects require a scoped brief before production can be scheduled.

Department allocation

Every project is assigned across our three internal departments to keep delivery structured and predictable:

  • Creative: Responsible for visual development, asset generation, art direction, and post-production.
  • Technology: Handles technical implementation, web systems, automation, code assets, and platform integrations.
  • Operations & Client Services: Manages production schedules, briefs, milestones, client sign-offs, and administrative processing.

Small teams do not deal with fragmented communication. Operations & Client Services oversees your schedule, ensuring that Creative and Technology execute strictly against the agreed scope.

Sequence of events

Commissioning work follows an established four-stage sequence:

1. Submission: You initiate the project by selecting a package on the packages page or by submitting a bespoke brief through the portal. If you were introduced via our ambassador programme, your referral code must be declared at this point. 2. Review and scoping: Operations & Client Services reviews your submission against current studio capacity. Our first reply target is within 24 hours during working hours (Monday to Thursday, 09:00-17:00 GMT). For bespoke commissions, a written quote is produced within 48 hours of receiving a complete, actionable brief. If a valid referral is confirmed, the standard 10% to 30% discount is calculated and clearly stated in the quote. 3. Confirmation and deposit: To confirm your production slot, you must approve the scope and settle the initial deposit. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. 4. Production and handoff: Creative and Technology execute the agreed tasks. Drafts, revisions, and deliveries are managed through your milestone schedule, with progress tracked via the portal.

What small teams must supply

Independent operators and small businesses often operate without dedicated project managers. To prevent delivery bottlenecks, you must supply the following before production begins:

  • A single primary contact: One designated person with sign-off authority. We do not accept conflicting instructions from multiple team members.
  • Organised source assets: All brand guidelines, reference files, copy, fonts, credentials, and raw media must be supplied upfront in working order.
  • Consolidated revision notes: Feedback must be collated internally by your team and delivered as one single batch per review milestone.
  • Timely approvals: Schedules depend on sequential sign-offs. Delays in review pause active production.

Communication and operating hours

Production runs exclusively Monday to Thursday, between 09:00 and 17:00 GMT. Studio operations are closed on Fridays, weekends, and UK bank holidays.

All support and day-to-day communication run through the Ask Xylo chat on this portal. We do not use third-party messaging apps or ad-hoc communication channels. This centralises file exchanges, schedule updates, and scope documentation in one audited thread.

Failure cases and boundaries

Smaller commissions most frequently fail or encounter friction due to three issues:

  • Scope creep: Requesting additions mid-production breaks the delivery timeline. Minor additions require a written scope adjustment; major additions are quoted as a separate production phase.
  • Asset delays: If required assets or milestone sign-offs are delayed past five working days, your project will be moved out of the active queue and rescheduled based on subsequent studio availability.
  • Ensure you have the budget, requirements, and capacity to proceed before confirming the quote.

Readiness checklist

Before submitting your brief or purchasing a package, verify that:

  • [ ] You have designated a single decision-maker for all sign-offs.
  • [ ] Your brief defines exact deliverables, technical requirements, and target formats.
  • [ ] All source files, brand assets, and reference materials are ready to transfer immediately.
  • [ ] Your referral code has been noted for inclusion on the initial quote, if applicable.
  • [ ] You have reviewed our studio working hours (Monday to Thursday, 09:00-17:00 GMT) and refund terms.
