Yes. Xylora Studios regularly works with established businesses, corporate departments, and institutional organisations. All enterprise engagements are routed through structured scoping, formal vendor onboarding, and active project management across our three core departments.
Departmental structure and project routing
When an established business engages the studio, the work is managed across three distinct teams depending on the project scope:
1. Operations & Client Services: Acts as your primary commercial and operational interface. They handle onboarding, NDAs, supplier forms, invoicing schedules, and project timelines. 2. Creative: Executes visual design, brand systems, campaign assets, art direction, and digital media production. 3. Technology: Builds, integrates, and deploys digital products, bespoke web applications, systems architecture, and technical infrastructure.
Communications and day-to-day operational queries are directed through the Ask Xylo chat on this portal. We operate Monday to Thursday, 09:00 to 17:00 GMT. Inquiries submitted outside these hours are addressed on the next working day. We maintain a first reply target of 24 hours for all incoming requests.
Procurement and onboarding sequence
Enterprise and corporate procurement follows a fixed linear sequence:
- Stage 1: Brief submission. Your internal team submits a project brief outlining technical specifications, deliverables, and organisational requirements. If you were introduced via our ambassador programme, you must declare the referral at this stage; referred clients typically receive 10–30% off, confirmed in writing on the quote, while the referrer earns commission.
- Stage 2: Technical and operational review. Operations & Client Services assesses the brief against our production capacity and routes technical requirements to the Creative or Technology leads.
- Stage 3: Proposal and quotation. Fixed-scope services are aligned to our published package costs on the packages page. Bespoke projects receive a tailored written quote within 48 hours of our team receiving a complete brief.
- Stage 4: Compliance and vendor onboarding. We review and complete standard supplier questionnaires, vendor setup paperwork, and non-disclosure agreements.
- Stage 5: Deposit and scheduling. The project is booked into the production calendar once payment clears and commercial agreements are countersigned.
Commercial terms and compliance
Established businesses with strict accounting cycles should note our non-negotiable operational rules:
- Payment terms: Work does not enter production without agreed deposits. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Discretionary exceptions are made solely at the studio's own determination.
- Pricing integrity: Bespoke quotes remain valid for the period specified on the issued document. If corporate purchase order generation takes longer than the quotation validity window, we reserve the right to review rates and project scheduling based on current studio availability.
- Invoicing: Invoices are issued electronically through Operations & Client Services with standard UK business identifiers for Xylora Groups LTD.
What established clients must supply
Corporate structures often involve multiple departments. To maintain execution pace, established clients must provide:
- A single authorised project owner: One internal decision-maker with formal sign-off authority for deliverables, technical decisions, and invoice approvals.
- Procurement packs in advance: All vendor registration forms, billing protocols, and supplier terms must be submitted before quoting concludes.
- Consolidated feedback: Feedback rounds must be compiled internally and submitted as a single unified directive via the Ask Xylo chat rather than fragmented notes from disparate departments.
- Access and assets: Production starts only after receiving all required master assets, vector identity files, server credentials, and API documentations.
Failure cases and project boundary controls
Corporate engagements present specific risks that we manage through clear rules:
- Multi-stakeholder delays: If an internal approvals committee fails to sign off milestones within the agreed review window, the delivery date shifts accordingly. Extended delays may require the project to be rescheduled into a later studio cycle.
- Scope creep through internal consensus: Additional feature requests from non-stakeholder team members are excluded from active sprints. New requests are handled by Operations & Client Services as separate bespoke quotes.
- Extended procurement timelines: If your procurement department requires net-60 or net-90 payment terms that diverge from our agreed schedule, production pauses until payment clears.
