WHAT DOES “ONE STUDIO” ACTUALLY MEAN

An operational explanation of how our three internal departments integrate to deliver creative and technical projects under a unified production pipeline.

"One studio" means your project is delivered entirely in-house across our three departments without external subcontractors or fragmented account handling. You receive a unified production pipeline, single-channel communication, and direct operational accountability under Xylora Groups LTD.

Internal Department Structure

We operate three distinct departments under a unified management structure:

1. Creative: Responsible for brand design, visual identities, artwork, motion design, and media production. 2. Technology: Responsible for software engineering, system architecture, web development, and digital infrastructure. 3. Operations & Client Services: Responsible for project scheduling, resourcing, scope verification, and ongoing client communication.

Traditional digital agency models frequently separate technical builds from visual design, outsourcing development to third-party contractors or white-label shops. At Xylora Studios, work does not move outside our team. Technical leads review creative concepts prior to presentation to verify technical feasibility, while creative leads maintain visual oversight through the final implementation stages managed by Technology.

The Production Sequence

Every project follows a direct cross-department sequence from intake to completion:

1. Brief Submission: You submit your requirements through the portal. Operations acknowledges your submission within our standard 24-hour first reply target. 2. Scoping and Estimation: If your project matches an existing fixed offering, pricing is determined directly by the packages page. If you require custom development or bespoke assets, Creative and Technology conduct a joint technical assessment. Operations then issues a bespoke quote within 48 hours of receiving a complete brief. If you were introduced via an existing partner, your 10% to 30% referral discount is applied directly to this quote, while the referrer earns commission via our ambassador programme. 3. Integrated Production: Once your initial payment or deposit clears, Operations schedules your project into our live calendar. All production runs strictly Monday to Thursday, between 09:00 and 17:00 GMT. Creative and Technology execute milestones concurrently or sequentially depending on scope requirements. 4. Unified Delivery: Work is reviewed and handed over as an integrated product rather than disparate deliverables. Staging links, asset repositories, and documentation are provided through a single point of coordination.

What You Must Supply

To ensure our three departments function effectively without administrative drag, clients must provide the following:

  • A single point of contact: One nominated individual with authority to sign off on creative milestones, technical requirements, and project costs.
  • A fully resolved initial brief: Technical requirements (such as third-party services, APIs, and hosting parameters) must be declared alongside visual and aesthetic expectations, not after creative layouts are finalised.
  • Consolidated feedback: Milestone reviews must be delivered as unified, unambiguous instructions through the Ask Xylo chat on this portal.

Failure Cases and Boundary Handling

Operational friction typically arises when single-studio principles are bypassed:

  • Split or conflicting client feedback: If different members of your team issue contradictory notes through separate messages, production is paused. Operations will place the milestone on hold until your primary contact issues a definitive resolution in writing.
  • Late architectural changes: Requesting fundamental functional changes during late-stage visual development impacts both Creative and Technology pipelines. Operations will re-scope the work, adjust delivery dates, and issue a formal quote addendum.
  • Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Discretionary refunds or credits remain strictly at the studio's sole determination.
  • Out-of-hours requests: We do not operate on Fridays, weekends, or UK public holidays. Any messages or requests sent outside Monday to Thursday, 09:00–17:00 GMT are queued and processed the next working studio day.
