When client stakeholders disagree on project direction, production on the affected deliverables pauses immediately until your team supplies a single, reconciled set of instructions. Xylora Studios does not arbitrate internal governance matters, split production branches between competing briefs, or act on contradictory review notes.
Nominated lead and sign-off authority
Before work begins on any bespoke build or packaged service, Operations & Client Services requires the designation of one nominated lead stakeholder. This individual holds ultimate commercial and creative sign-off authority for your organisation.
While your wider internal team, executive board, or external partners may review staging environments and asset drafts, all formal approvals, revisions, and change requests must route through this primary contact. If individual team members submit divergent feedback directly to our Creative or Technology departments—such as conflicting layout requests, opposing functional requirements, or contradictory brand edits—work on that task halts. Our team will log the discrepancy via the Ask Xylo chat on this portal and await unified written direction.
Sequence of events during an internal dispute
When contradictory feedback is submitted during an active review cycle, the studio follows an established operational procedure:
1. Conflict identification: The assigned department lead (Technology or Creative) flags that incoming review notes are mutually exclusive or contradict previously approved specifications. 2. Formal notification: Operations & Client Services sends an alignment notice via the Ask Xylo chat during studio working hours (Monday to Thursday, 09:00-17:00 GMT), detailing the specific items requiring internal resolution. 3. Production pause: Tasks directly tied to the disputed elements are placed on hold. Studio time is frozen on those items to prevent unnecessary budget consumption. 4. Internal client reconciliation: Your team convenes independently to resolve the matter. Xylora Studios does not attend internal corporate debates or mediate stakeholder alignment sessions. 5. Consolidated submission: Your nominated lead uploads a single, definitive feedback document or approval note via the portal. 6. Rescheduling: The studio assesses the impact of the delay and issues updated delivery targets for the affected milestone.
Timelines, revisions, and commercial impact
Pausing work to resolve internal disagreements directly affects the project delivery date. Studio production schedules are strictly managed Monday to Thursday. When an asset is delayed while awaiting client consensus, the delivery milestone shifts day-for-day as a minimum, and may need to be rescheduled around existing studio commitments.
Conflicting feedback also impacts your revision limits. Iterations executed by Creative or Technology based on one stakeholder's feedback consume agreed review cycles. If a second stakeholder subsequently requests the reversal of those alterations, the reversal constitutes an additional round of revisions. If your package or bespoke revision allowance is exhausted by contradictory iterations, further work requires a separate quote, provided within 48 hours of a finalised brief.
Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Work completed to date will not be refunded or credited due to internal disagreements on your side.
Dormancy and project parking
If stakeholder disagreement prevents feedback from being consolidated within 14 calendar days of the formal notification, Operations & Client Services will formally park the project.
Parking an engagement releases our reserved production capacity back to other client work. To reactivate a parked project, the client must submit the overdue consolidated feedback, settle any outstanding invoices, and accept an updated delivery schedule based on our current studio availability. If internal consensus cannot be reached and the project cannot proceed, the contract will be closed with no return of fees paid.
Stakeholder alignment checklist
To ensure reviews proceed without administrative holds, verify the following before submitting feedback:
- Nominate a single point of contact with binding commercial and creative sign-off authority.
- Collate all internal feedback from your team into an offline document before sharing it with the studio.
- Resolve all conflicting internal opinions prior to posting submissions.
- Remove conversational threads, speculative notes, and competing edits from the final document.
- Submit the consolidated brief or sign-off via Ask Xylo during studio operating hours (Monday to Thursday, 09:00-17:00 GMT).
