WHAT MAKES A PROJECT EASY TO START

kickoffplanning

A project starts efficiently when the studio receives a defined brief, confirmed assets, and a designated single point of contact before work enters production.

A project starts smoothly when scope, technical access, and decision-making authority are established before production begins. Prepared inputs allow the studio to allocate resources directly rather than spending kickoff hours resolving basic prerequisites.

Delays at launch almost always stem from unconfirmed briefs or missing assets. When materials are supplied systematically, work moves directly from scoping into scheduling.

Required information and assets

Before production can be scheduled, our teams require complete foundational materials. Supplying partial information requires back-and-forth clarification that holds up your production slot.

Every project requires three core items: - A defined objective and scope: Specific deliverables, technical constraints, target platforms, and reference materials. Package work is detailed directly on our packages page; bespoke work requires a full written scope. - Production assets and credentials: High-resolution brand marks, style guides, relevant copy, existing code repositories, or environment access credentials. If you are supplying raw files, they must be organised and accessible without permission blocks. - A single primary contact: One named individual who holds final sign-off authority and responds to operational queries. Distributed or conflicting feedback across multiple team members stalls progress immediately.

The intake and scheduling sequence

Project initiation follows an established administrative pathway to prevent scheduling conflicts:

1. Submission: You submit your initial enquiry or brief through the portal. If you were introduced via our ambassador programme, you must supply the referrer's details at this point so the 10–30% referral discount can be validated and applied directly to your quote. 2. Review and scoping: Operations & Client Services reviews the submission and routes technical or design parameters to Technology or Creative. We aim for a first reply within 24 hours. 3. Quotation: Fixed scopes match the pricing on our packages page. For custom work, bespoke quotes are issued within 48 hours of receiving a complete, unambiguous brief. 4. Commitment: Work is placed into the production queue once the quote is approved and the invoice deposit is settled. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. 5. Kickoff: Operations & Client Services confirms the production start date and assigns the working team.

Studio working hours and communication

Xylora Studios operates Monday to Thursday, from 09:00 to 17:00 GMT. We do not operate on Fridays or weekends.

All operational project correspondence runs through the Ask Xylo chat on this portal. Consolidating communication within this system ensures every team member across Technology, Creative, and Operations & Client Services shares a complete record of project specifications and revisions. Requests sent outside of working hours are reviewed on the following working day.

Common friction points

Projects fail to start on time due to predictable operational bottlenecks. Being aware of these avoids early project stalls:

  • Incremental brief changes: Amending the project scope while a quote is being prepared resets the scoping timeline. Settle internal requirements before submitting.
  • Asset dependencies: Stating that assets will arrive 'during production' often halts build sequences. Creative and Technology assets must be provided in full before development or design sprints commence.
  • Split decision-making: Supplying contradictory feedback from multiple internal reviewers halts work. Collate and resolve internal differences before posting approvals.
  • Payment delays: Invoices must be settled promptly to hold the provisional calendar window. Because production slots are finite, dates are only confirmed upon cleared deposit.

Pre-kickoff checklist

Review this checklist before submitting your materials:

  • [ ] Project brief is finalised with clear deliverables and acceptance criteria.
  • [ ] Any ambassador referral code or name is supplied at the point of submission.
  • [ ] Brand assets, typography, copy, and vector graphics are packaged and accessible.
  • [ ] Server, hosting, CMS, or codebase access has been verified and shared.
  • [ ] A single internal project lead with final approval authority is nominated.
  • [ ] The studio's non-refundable deposit terms and Monday–Thursday operating hours have been factored into your internal schedule.
