You will speak primarily with our Operations & Client Services department, who coordinate project schedules, milestones, and commercial administrative tasks. Specialists from our Creative and Technology departments join your thread directly whenever implementation details, asset reviews, or technical architecture require their specialist input.
Departmental roles and contact structure
Every project at Xylora Studios engages three core departments, each responsible for specific stages of delivery:
- Operations & Client Services: This department acts as your operational foundation. They handle onboarding, milestone tracking, resource allocation, contract logistics, and invoicing. If you have questions regarding timelines, scope alterations, or account statuses, this team addresses them.
- Creative: Visual artists, graphic designers, and brand specialists interface with you during concept generation, interface design, visual drafting, and asset iterations. You will speak with them when discussing art direction, visual feedback, or design rationale.
- Technology: Developers and technical specialists engage during technical planning, integration, code implementation, and deployment phases. They speak directly to your technical personnel when configuring environments, resolving integration challenges, or verifying deployment parameters.
Sequence of communication across the project lifecycle
Direct contact follows a predetermined structure designed to keep tasks accountable:
1. Scoping and Formulation: Operations & Client Services processes your incoming specifications. If the project requires custom scoping, a bespoke quote is prepared within 48 hours of receiving a complete brief. Fixed-scope work is structured directly against the parameters set out on the packages page. 2. Project Initiation: Following agreement and invoice processing, Operations introduces the core production leads assigned to your deliverables via the portal workspace. 3. Sprint Execution and Review: During active delivery, dialogue shifts dynamically. Creative or Technology leads will address technical questions directly in your project thread. You speak directly to the person executing the task, removing intermediaries during technical reviews. 4. Milestone Formalisation: Once production tasks are submitted, Operations re-enters the conversation to confirm milestone sign-off, collate administrative notes, and schedule the next release cycle.
Operating hours and communication tools
All official project communications are conducted through the Ask Xylo chat on this portal. We centralise project discussions here so that the full team retains an unedited, auditable record of all briefs, assets, and approvals. We do not use external messaging platforms or unrecorded telephone lines for scope-critical instructions.
The studio operates Monday to Thursday, 09:00 to 17:00 GMT. Inbound messages have a first-reply target of 24 hours within these operating hours. Items submitted outside working hours or over the weekend are logged and addressed in sequence when the studio reopens on Monday morning.
What the client must supply
To ensure our team structure operates efficiently, your organisation must establish clear internal protocols before production begins:
- A Single Nominated Lead: You must designate one point of contact who possesses absolute sign-off authority for your organisation. Conflicting directions from multiple client contacts will halt production until your internal consensus is reached.
- Consolidated Revisions: Feedback on creative proofs or technical builds must be collated internally by your team and delivered as a unified, cohesive document. Fragmented comments submitted across multiple messages will be returned for consolidation.
- Timely Decisions: Production schedules depend entirely on timely client approvals. Delays in testing staging builds or signing off creative milestones require rescheduling subsequent department allocations.
Failure cases and boundary handling
Clear boundaries protect project momentum and prevent procedural drift:
- Scope Creep in Technical Threads: Discussions with Creative or Technology team members often generate ideas for new features. However, specialists cannot authorise scope adjustments. Any addition or structural change must be routed back to Operations & Client Services for assessment and written agreement.
- Out-of-Hours Urgency: Messages marked urgent outside our operating hours (Monday to Thursday, 09:00 to 17:00 GMT) will not bypass our standard schedule. Emergency issues must be planned for within operational working hours.
- Conflicting Client Instructions: If an unassigned member of your organisation attempts to override previous sign-offs, our team will stop work on that milestone until your nominated lead confirms the studio's direction in the Ask Xylo chat.
