WORKING WITH A SMALL STUDIO

A direct overview of how project capacity, department workflows, and operational boundaries function at Xylora Studios.

Working with an independent studio means working directly with practitioners rather than account managers, with project intake capped to maintain production quality. This structure delivers focused execution across our departments, provided communication, assets, and scheduling adhere to established operating boundaries.

Studio structure

Xylora Groups LTD has operated as an independent studio since 2022. Our internal structure consists of three core departments:

  • Creative: Responsible for design systems, visual direction, asset production, and creative implementation.
  • Technology: Responsible for architecture, web development, custom integrations, and technical maintenance.
  • Operations & Client Services: Responsible for project scoping, schedule management, contractual administration, and studio intake.

Because we do not maintain a bloated layer of non-technical account executives, your project requirements are reviewed directly by the people building the deliverables. This eliminates translation errors between brief and output, but it also requires client briefs and feedback to be clear, consolidated, and documented.

Studio availability and response standards

Our working hours are Monday to Thursday, 09:00 to 17:00 GMT. We do not operate on Fridays, weekends, or UK bank holidays.

Support and active project correspondence run through the Ask Xylo chat on this portal rather than fragmented communication tools. Our operational response metrics are:

  • General enquiries: First reply target within 24 hours during working days.
  • Standard package work: Scoped and priced directly on the packages page.
  • Bespoke proposals: Issued within 48 hours of receiving a complete, finalized brief.

Communications submitted after 17:00 GMT on Thursday enter the review queue on Monday morning. Planning project milestones around this schedule prevents unexpected production delays.

The project lifecycle

Every project follows a defined sequence to ensure operational clarity:

1. Brief submission: The client submits requirements, either by selecting a fixed scope from the packages page or by submitting bespoke specifications. 2. Commercial quote: Operations & Client Services confirms requirements. If you were introduced via our ambassador programme, your 10% to 30% referral discount is calculated here and confirmed in writing on the formal quote, while the referrer is credited with their commission. 3. Deposit and booking: Production dates are reserved only once the invoice is cleared. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. 4. Asset provision: The client provides all required source files, brand guidelines, access credentials, and content copy prior to the agreed production start date. 5. Active production: Creative and Technology execute the sprint milestones within our Monday-to-Thursday working schedule. 6. Review and sign-off: Structured feedback rounds are consolidated via the Ask Xylo portal chat and implemented to finalize the build.

Failure cases and operational risks

Small studio capacity relies on strict adherence to dependencies. The most frequent points of friction involve:

  • Drip-fed feedback: Multiple stakeholders sending conflicting changes via different messages slows production. Feedback must be unified, resolved internally by the client team, and submitted in a single written summary.
  • Asset bottlenecks: If credentials, copy, or visual assets are missing at the scheduled start date, the production slot lapses. The project may be rescheduled subject to studio availability.
  • Scope creep: Additional tasks outside the signed quote or package description are not absorbed into current sprints. They require a separate scope amendment and commercial estimate from Operations & Client Services.
  • Payment delays: Work stops immediately if phase invoices remain unpaid. Paused work loses its position in the schedule and will only resume when capacity allows once funds clear.

Operational checklist for clients

Before initiating work with our team, verify that you have prepared the following:

  • A single designated project lead authorised to approve work and release feedback.
  • A complete brief containing core functional requirements, reference materials, and technical specs.
  • All necessary domain logins, code repositories, content, and brand assets ready for transfer.
  • Awareness of our Monday to Thursday operating calendar (09:00-17:00 GMT).
  • Active access to the Ask Xylo chat on this portal for all project logs and queries.
