When client-supplied content arrives past agreed handover dates, active production pauses immediately and delivery milestones shift by at least the duration of the delay.
Because studio capacity is scheduled across specific production windows, work cannot automatically resume the day missing material is received; it must wait for the next unallocated slot in the production queue.
Why production stops for missing content
Digital builds and creative layouts rely on final content to establish hierarchy, structural spacing, and interaction patterns. Both the Creative and Technology departments work from verified copy, data, and imagery rather than unconfirmed placeholders.
Designing or building around draft text or missing assets creates structural errors. When final text differs in length or structure from mock content, user interfaces break, typography requires rebalancing, and development logic must be rewritten. To prevent duplicate work and budget erosion, production halts until all prerequisite materials are delivered.
Sequence of events during a delay
When a scheduled content deadline passes without delivery, the project moves through a formal operational process:
1. Notification: Operations & Client Services checks the project tracking board at 09:00 GMT. If mandatory assets are absent, an alert is sent via the Ask Xylo chat specifying exactly which items are missing. 2. Grace period: The client has until the end of the working day (17:00 GMT) to supply the outstanding assets or flag an impending hold. 3. Production pause: If assets are not supplied, active development or design ceases. The assigned designers and engineers in the Creative and Technology teams are immediately reassigned to other scheduled studio commitments. 4. Status update: The project status moves to Paused. A revised delivery forecast cannot be issued until the missing assets are fully provided and verified. 5. Rescheduling: Once all required assets arrive, Operations & Client Services reviews current studio allocations and confirms the next viable production restart date, typically within 24 to 48 hours.
Studio capacity and rescheduling mechanics
Xylora Studios operates Monday to Thursday, from 09:00 to 17:00 GMT. Production sprints are planned weekly based on firm commitments.
When a delay occurs, the studio cannot simply push all other clients' pre-booked timelines backwards to accommodate late files. Consequently, a two-day delay in content submission often results in a schedule extension longer than two calendar days. If the upcoming studio schedule is fully committed, your project must wait for the next open gap in department schedules.
Client delivery responsibilities
To keep a project on schedule, content must be delivered complete, edited, and approved by the agreed deadline. The studio does not proofread, rewrite, or source missing licensing permissions unless explicitly contracted under a creative package.
Clients must provide: - Copywriting: Final, signed-off text organised logically by page, template, or screen component, supplied in standard digital documents. - Imagery and video: High-resolution assets in raw or lossless web-ready formats, correctly named and mapped to corresponding sections. - Brand assets: Vector files (SVG, EPS) for logos, icons, and official brand typography files where commercial licences permit. - Data and credentials: Verified third-party API keys, access credentials, and database structures required by the Technology department.
Financial policies and scope impacts
Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.
A paused project does not pause contractually scheduled milestone payments. Furthermore, if delayed copy significantly alters the project scope—such as introducing complex structural needs that were not outlined in the initial brief—the adjustments will require a bespoke change quote, prepared within 48 hours of review, before that work can proceed.
Failure cases to avoid
- Piecemeal delivery: Supplying fragments of copy or individual images over several days prevents the production team from running a consolidated build phase. The project remains on hold until the complete set is delivered.
- Unapproved drafts: Supplying text that is still subject to internal client stakeholder review causes repeated design revisions. Content must be locked before submission.
- Incompatible assets: Supplying low-resolution raster images for large-format displays or unlicenced media causes immediate technical rejection, pausing the sprint until compliant replacements arrive.
Content handover checklist
Before submitting your content batch via the Ask Xylo chat, verify the following:
- [ ] All written copy is final, fully proofread, and approved by all relevant stakeholders.
- [ ] Text files clearly indicate which page, view, or module each block belongs to.
- [ ] Image assets meet the minimum pixel dimensions and formats agreed upon in the project brief.
- [ ] All media files are accompanied by appropriate commercial usage rights.
- [ ] Necessary credentials or API tokens are active and tested for the Technology department.
- [ ] The entire material package is uploaded in a single consolidated delivery.
