Xylora Studios operates Monday to Thursday, 09:00 to 17:00 GMT. All production work, client communications, and operational schedules pause from Friday morning through Sunday evening.
Understanding this schedule ensures project timelines, review periods, and submission deadlines are planned accurately without unexpected pauses.
Studio operating hours and coverage
The studio has operated on a four-day working model since 2022. All three core departments—Technology, Creative, and Operations & Client Services—operate exclusively within the Monday to Thursday window.
No scheduled client meetings, production milestones, or sprint kick-offs take place on Friday, Saturday, or Sunday. While automated platform services remain active, human review and active engineering do not take place outside core hours. Any reference to business days or working days in contracts, schedules, and deliverables refers strictly to Monday through Thursday.
Communication targets and the Ask Xylo chat
All support and account queries run through the Ask Xylo chat on the client portal. Studio response targets operate exclusively across working days:
* First reply target: Within 24 working hours. A message submitted at 14:00 on Wednesday will receive a response by 14:00 on Thursday. A message submitted at 14:00 on Thursday will receive a response by 14:00 on the following Monday. * Bespoke quotes: Delivered within 48 working hours following receipt of a complete brief. If a complete brief is submitted at 10:00 on Thursday, the 48-hour calculation spans Thursday and Monday, with the quote issued by 10:00 on Tuesday morning. * Package work: Scopes and pricing for package work are fixed directly on the packages page, meaning turnaround calculations begin the working day after initial scope confirmation.
Referred clients eligible for an introductory discount (typically 10% to 30%, confirmed in writing on the quote alongside the referrer's ambassador programme commission) will see this adjustment applied directly to the initial bespoke quote within the standard 48-hour window.
Production, releases, and departmental impact
Each department handles the four-day schedule with strict cutoff windows to preserve stability:
* Technology: The studio enforces a code-freeze policy from Thursday afternoon through Sunday. No production deployments, migrations, or technical releases occur after 13:00 on Thursday. This prevents unmonitored failures during periods when engineering teams are offline. * Creative: Design reviews, asset handoffs, and feedback rounds take place between Monday and Thursday. Creative feedback submitted late on Thursday enters the studio queue on Monday morning and is assigned according to current sprint allocations. * Operations & Client Services: Invoicing, milestone tracking, and agreement dispatch occur during operating hours. Milestone sign-offs provided over the weekend are verified when operations open on Monday.
Client submission cut-offs and turnaround times
To ensure work is reviewed before the weekend, clients must manage the timing of their submissions:
1. Feedback and approvals: If you require feedback integrated into a sprint before the weekend, provide sign-off by 12:00 GMT on Wednesday. 2. Brief submissions: New project briefs submitted after 17:00 on Wednesday will begin their 48-hour quote turnaround calculation from 09:00 on Thursday, concluding on Monday. 3. Deposit settlement: Work schedules are booked only once the required payment has cleared. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Invoices settled on a Friday will be processed and added to the production schedule on Monday.
Failure cases and delays
Misaligning expectations around the four-day schedule is the primary cause of avoidable project friction. The most common issues include:
* Expecting Friday turnaround: Treating Friday as an active working day when setting external launch deadlines will create critical path delays. Launch dates must always be anchored between Monday and Thursday. * Incomplete briefs on Thursdays: Submitting an incomplete brief on Thursday morning pauses the 48-hour quote clock immediately. The clock will only start once all required inputs are verified by Operations, pushing completion into mid-week. * Emergency requests outside hours: Inbound messages sent via Ask Xylo outside operational hours are logged chronologically. They will not be addressed until studio hours resume at 09:00 GMT on Monday.
Client weekend-planning checklist
To keep your project running efficiently across the four-day cycle, verify the following:
* Deliver feedback early: Submit revision notes before 12:00 on Wednesday to enable same-week processing. * Plan deployments safely: Schedule all technology deployments for Tuesday or Wednesday to allow monitoring within working hours. * Account for weekend gaps: Add three calendar days to turnaround times for any request sent after 17:00 on Thursday. * Direct all tickets properly: Use the Ask Xylo chat on the portal rather than external channels to preserve your place in the Monday morning queue.
