HOW VIDEO EDIT REVIEWS WORK

Video edit reviews at Xylora Studios follow structured, timecoded revision rounds submitted through your portal project link during studio operating hours.

Video edit reviews at Xylora Studios take place in structured revision rounds using timecoded feedback links delivered directly to your project dashboard. Feedback is reviewed by the Creative department during studio operating hours and consolidated before revisions commence.

Review stages and delivery

Every video project progresses through agreed milestone cuts, typically starting with an assembly or rough cut (V1), progressing to fine cut (V2), and concluding with final colour, audio mix, and mastering.

When a cut is ready, the Creative team uploads the file to a review workspace. You will receive an alert on the client portal with a secure link to the video player. This review player allows frame-accurate, timecoded comments directly on the picture.

Reviews do not take place over general chat threads, phone calls, or fragmented messages. Centralising remarks on the timeline prevents conflicting instructions and ensures the editor sees the exact frame in question.

What you must supply

To ensure edits proceed without delays or misunderstandings, supply feedback adhering to three standards:

1. Consolidated team feedback: Collate all internal stakeholder notes into a single pass before marking the review as complete. We do not accept staggered feedback from multiple team members on the same version. 2. Timecode precision: Attach your remarks to the exact timecode in the player. State clearly whether an instruction applies to visual pacing, on-screen text, colour, or audio. 3. Decisive direction: Clear instructions (e.g. "Cut at 01:14:02 to wide shot" or "Correct typo in lower-third to 'Director'") allow immediate action. Open-ended remarks without direction require clarification and delay turnaround.

Once all notes are added, confirm submission via the portal or the Ask Xylo chat. The Creative team then locks the round.

Studio roles and turnaround timings

Video reviews operate on a fixed operational cycle managed across two studio teams:

  • Operations & Client Services: Logs receipt of your feedback, verifies that all notes are complete, confirms remaining revision rounds under your package or agreement, and schedules the editing block.
  • Creative: Assesses the instructions, tests revisions against the approved brief or storyboard, and implements changes in the edit suite.

Xylora Studios operates Monday to Thursday, from 09:00 to 17:00 GMT. The first reply target for operational queries is within 24 hours. The turnaround time for amending the cut depends on the scope of the notes and the package specifications. Minor graphical corrections are usually quicker than structural re-edits or audio passes, but no editing commences until the review round is formally signed off as submitted.

Failure cases and scope boundaries

Delays or additional charges typically stem from four review failures:

  • Fragmented or contradictory notes: If two stakeholders leave conflicting instructions at the same timestamp, the edit is paused until Operations receives written confirmation on which direction stands.
  • Brief changes post-approval: If a cut adheres to an approved storyboard, script, or animatic, requests to rewrite narration, substitute core footage, or change the overarching structure fall outside standard revisions. These require a bespoke quote from Operations, delivered within 48 hours of a clarified brief.
  • Exhausted revision rounds: Standard packages contain defined revision allocations (stated on the packages page or bespoke agreement). Rounds beyond the contracted limit must be quoted and settled before work resumes. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.
  • Incomplete source assets: If notes request adding new external media (e.g., higher-resolution logos, replacement voiceover, missing b-roll), revisions pause until all files are delivered to the portal.

Client review checklist

Before confirming that your review round is complete, run through these points:

  • [ ] Have all internal decision-makers watched the cut and signed off on the feedback?
  • [ ] Are all comments pinned to specific timestamps rather than general descriptions?
  • [ ] Have you checked on-screen graphics, names, titles, and text for spelling and accuracy?
  • [ ] Have you verified audio balance, voiceover pronunciation, and pacing?
  • [ ] Have you uploaded any requested external assets directly to the workspace?
  • [ ] Did you confirm completion on the portal or via Ask Xylo chat so the Creative team can proceed?
