ARE HOSTING AND DOMAINS INCLUDED

Hosting accounts and domain names are not included as standard in creative or development fees; clients maintain direct ownership and billing with their chosen providers.

Hosting accounts and domain names are not included as standard within our design or development project fees.

You retain legal ownership and direct billing relationships with your infrastructure providers, while our Technology department manages the configuration, technical deployment, and post-launch handover.

Infrastructure ownership model

Xylora Groups LTD operates on a model of absolute client ownership. We do not purchase domains on your behalf, nor do we absorb server overheads into pooled, opaque hosting markups. If an agency holds your domain registration or hosts your platform on an internal account, moving providers later becomes an operational bottleneck.

Standard package work detailed on the packages page, as well as bespoke projects, covers the creative and engineering labour provided by our Creative and Technology departments. Ongoing third-party fees—including annual domain renewals, server hosting tiers, SSL certificates, content delivery networks (CDNs), and transactional email services—are billed directly to you by the respective infrastructure vendors.

If your project requires bespoke server architecture, managed cloud environments, or dedicated DevOps management, our Technology department specifies these requirements during the initial consultation. Where bespoke operational setups require direct studio maintenance, this scope and any recurring operational fees are detailed in writing on your bespoke quote, delivered within 48 hours of receiving a complete brief.

What you must supply

To allow our Technology department to configure environments and launch your platform without disruption, you must provide the following assets prior to scheduled deployment:

* Active registrar account: Access to your domain registrar (such as Cloudflare, Namecheap, or Google Domains) via delegated team permissions or secure credential sharing. * Hosting environment: An active account with an agreed hosting or cloud platform, configured with your organisation's payment method. * Current DNS records: A full export or screenshot of all active DNS records, particularly MX and TXT records associated with your business email and authentication records (SPF, DKIM, DMARC). * Deployment contact: A nominated team member available via phone or our Ask Xylo chat during studio working hours (Monday to Thursday, 09:00-17:00 GMT) to verify two-factor authentication (2FA) prompts.

Deployment sequence

1. Specification: The Technology department defines the necessary hosting specification based on expected traffic, tech stack, and data residency requirements. 2. Environment provision: You register the domain and set up the hosting account using your organisation's billing details, then invite our team as technical administrators. 3. Staging setup: Our developers build and test the project in a staging environment under a temporary studio subdomain. 4. DNS preparation: Operations & Client Services cross-references your live DNS records to ensure existing services like email routing remain unaffected. 5. Cutover and launch: During scheduled operating hours, our Technology department updates the DNS A/CNAME records to point to the production host and provisions the live SSL certificate. 6. Verification and handover: Once propagation completes, the studio runs final health checks. Any temporary administrative access is revoked or returned to your control.

Failure points and operational delays

* Lapsed vendor payments: Hosting accounts or domain registrations with expired payment methods will suspend services automatically. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. * 2FA bottlenecks: Modern registrars mandate two-factor authentication. If your nominated contact is unreachable when our engineers initiate cutover, deployment must be rescheduled within studio hours (Monday to Thursday, 09:00-17:00 GMT). * Unrecorded MX records: Altering nameservers without auditing existing email routing will take company email offline. We do not change root nameservers unless specifically planned and documented in advance. * DNS propagation windows: While modern records often update in minutes, global propagation can take up to 48 hours. Launch dates must account for this technical lead time.

Launch readiness checklist
