WHAT THIRD-PARTY COSTS MIGHT APPEAR

third-partyexpenses

Third-party costs are external expenses such as hosting, domains, software licences, and stock media that are required for your project but billed outside our core studio fees.

Third-party costs are external expenses required to execute a project that sit outside Xylora Studios' production fees. These include items such as hosting, domains, software licences, font rights, and stock media, which are either billed directly by the external vendor or invoiced separately with your explicit approval.

Typical third-party expenses by department

Our studio fees cover our team's labour, design, development, and project management across our three departments. Specialised external tools or assets required for your specific deliverables remain separate expenses.

Technology Projects managed by the Technology department often require ongoing digital infrastructure. Typical costs include: - Domain registration and annual renewal fees. - Cloud hosting, managed servers, and content delivery networks (CDNs). - Paid application programming interfaces (APIs), transaction fees (such as payment gateway fees), and third-party data feeds. - Transactional or marketing email delivery platform subscriptions.

Creative Deliverables generated by the Creative department may require commercial assets to meet legal compliance: - Desktop and web font licences for bespoke typography. - Premium stock photography, video footage, audio beds, and sound effects. - Specialist 3D assets, textures, or design plugins not included in the standard studio stack. - Physical proofing or print production runs.

Operations & Client Services Administrative or logistical costs may arise depending on project scope: - Physical courier and shipping services for physical deliverables or hardware testing kits. - Specialised legal or compliance filing fees requested specifically for the project.

Procurement process and sequence of events

We do not mark up third-party services silently or commit you to recurring expenses without written consent. The procurement follows a set sequence:

1. Identification during scoping: During the initial brief review, our team identifies all required third-party services. For bespoke work, these estimates appear in the bespoke quote issued within 48 hours of receiving a complete brief. For package work, mandatory external dependencies are noted alongside the base package specifications on the packages page. 2. Account ownership assignment: Where possible, we require you to open the vendor account under your organisation's name using your company payment details. The Technology or Creative department is then granted administrative or collaborator access. This ensures you maintain full ownership and control of your assets, licences, and hosting environments. 3. Studio procurement (when direct billing is unfeasible): If an asset must be acquired directly by the studio (such as certain developer licences or font packages), Operations & Client Services will send an itemised authorisation notice via the Ask Xylo chat. Work requiring that asset will not proceed until you confirm acceptance in writing. 4. Invoicing: Any studio-procured third-party expenses are invoiced immediately. Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site.

Failure cases and project impact

Disruptions with third-party vendors directly affect delivery schedules and site stability:

  • Lapsed card details or failed vendor billing: If your payment method fails on an external service (such as hosting, domain registrars, or API providers), the provider may suspend the service instantly. Xylora Studios cannot bypass external provider paywalls or reinstate services on your behalf.
  • Approval delays: If font licences, hosting credentials, or external subscriptions are delayed, work on the affected milestone pauses. Studio working hours run Monday to Thursday, 09:00-17:00 GMT; any delay in providing access or approvals shifts the production schedule by a corresponding number of business days.
  • Licensing tier discrepancies: Under-licensing an asset (for example, purchasing a standard font licence instead of a high-traffic enterprise licence) creates legal exposure. If the scope of your deployment exceeds your licence tier, you are responsible for paying the vendor's upgrade fees.

Third-party expense checklist

Before your project moves into production, complete these checks:

  • [ ] Review your bespoke quote or package specifications for noted external dependencies.
  • [ ] Designate a corporate credit card or central billing account for software subscriptions.
  • [ ] Confirm direct account ownership for domains, web hosting, and payment processors.
  • [ ] Grant delegated or team access to the relevant Xylora Studios department.
  • [ ] Verify that media and font licences cover your projected traffic and geographic regions.

If you have questions regarding an itemised expense or require guidance setting up a vendor account, submit an inquiry through the Ask Xylo chat on this portal. Our team responds within our standard 24-hour first reply target during studio hours.
