HOW GAME CONCEPT DELIVERABLES ARE STRUCTURED

Game concept deliverables are divided into design documentation, visual benchmark assets, and technical feasibility reports delivered across distinct operational milestones.

Game concept deliverables are structured into modular design documentation, visual style guidelines, and technical viability frameworks prepared by our Creative and Technology departments. This structure isolates gameplay mechanics, visual direction, and technical constraints into distinct, production-ready assets before active development begins.

The standard deliverable pack

Every game concept commissioned through the studio yields three coordinated components, delivered as both compiled presentation decks and editable raw documentation:

1. Core Concept Document (CCD): Prepared by the Creative department, this defines the high-concept pitch, genre positioning, core loop, player fantasy, controls baseline, and narrative framework. It details primary mechanics, progression loops, and reference titles. 2. Visual Direction and Style Sheet: Curated visual benchmarks, initial mood boards, colour palettes, and preliminary character or environment sketches. These establish lighting targets, material fidelity, and camera perspective expectations. 3. Technical Feasibility Matrix: Authored by the Technology department, this maps gameplay systems against target engines (typically Unreal Engine or Unity), platforms (PC, console, mobile), networking models, and third-party dependencies. It outlines performance budgets, expected asset pipelines, and technical risks.

Package work is priced directly on our packages page, while bespoke requirements receive a tailored scope detailing which specialist modules are included.

Department workflows and handover

Production moves sequentially through our internal teams, managed centrally by Operations & Client Services:

  • Intake and Structuring: Operations & Client Services audits the submitted brief, sets the schedule, and assigns creative leads. If you were introduced via our ambassador programme, your 10–30% referral discount is validated and applied to the quote at this point.
  • Creative Development: The Creative team establishes the game mechanics, world rules, and art benchmarks. Draft documentation is uploaded to the client workspace for midway alignment.
  • Technical Verification: The Technology team audits the mechanical scope against practical engine limitations, producing performance profiles and architectural recommendations.
  • Consolidation and Delivery: Operations formats the complete deliverable suite, issues final export files, and coordinates final sign-off.

All formal communication, queries, and file updates take place through the Ask Xylo chat on this portal.

What the client must supply

To prevent delivery stalls, clients must provide a defined set of baseline requirements before work enters the production queue:

  • Core premise and genre: A concise description of the intended experience and target genre conventions.
  • Target platforms and commercial model: Intended release platforms (e.g., Steam, iOS, PlayStation 5) and commercial model (e.g., premium, free-to-play, subscription).
  • Reference titles: At least three commercial benchmarks demonstrating desired gameplay, visual fidelity, and audio tone.
  • Known constraints: Fixed engine preferences, team skill limitations, or hard hardware performance targets.

Incomplete intake materials pause the drafting phase until clarification is received.

Production milestones and timelines

Studio working hours run Monday to Thursday, 09:00 to 17:00 GMT. Production operates strictly within these operating windows.

For custom projects, bespoke quotes are issued within 48 hours of receiving a complete brief. Once commissioned, standard concept production follows a set schedule:

  • Phase 1 (Alignment): Intake review and initial direction sign-off within three working days.
  • Phase 2 (Drafting): Creative and Technology teams generate draft assets. First review draft delivered at midway point.
  • Phase 3 (Revision): One structured round of client feedback submitted via Ask Xylo.
  • Phase 4 (Final Pack): Consolidated CCD, Visual Sheet, and Technical Matrix issued for sign-off.

Any communications sent outside working hours or on Fridays receive an initial response within our standard 24-hour reply target on the following business day.

Edge cases, scope creep, and payment terms

Concept scope can expand rapidly if boundaries are not maintained. If revised feedback introduces mechanics, platforms, or art directions not captured in the signed quote, production halts. Operations & Client Services will review the adjustments and issue an updated bespoke quote within 48 hours.

Deposits are non-refundable once your production slot is held. Before work begins, sums not yet earned are refunded pro rata; after work begins, completed work and booked time are charged. Defects are fixed free of charge within the acceptance window. The full terms are on the Refund Policy page of the main site. Work completed up to the point of any cancellation or scope dispute is delivered as-is, with exceptions made only at the studio's sole discretion.

Delivery checklist

Before signing off on your concept deliverables, verify that your pack contains:

  • [ ] High-concept summary and player loop diagram.
  • [ ] Character and environmental art style guides with defined colour keys.
  • [ ] Engine and platform feasibility assessment from the Technology department.
  • [ ] Risk analysis detailing potential production hurdles.
  • [ ] Editable source documentation alongside compiled client-facing decks.
